JES AFTERNOON PICKUP PROCEDURE

In September, the Kentucky Center for School Safety (KCSS) was invited to come and spent the day with us at JES.  They inspected the building, observed all daily procedures and interviewed parents, teachers, students, bus drivers, and others in the building, asking a series of safety-related questions.  Overall, they were very positive about our school; their only real concern was the afternoon pickup procedure.  They cited several potential safety issues with having parents come into the building to get students, and suggested we begin a car pickup line through the use of a numbering system.   Many schools in Kentucky use the numbering system they recommend and they assure me that no school has ever wanted to go back to their old system.  J  After careful consideration, two additional meetings with KCSS representatives, and meetings with First Responders (police, fire, EMS), we have developed a plan which will allow us to escort your students directly to your cars in the afternoon safely and quickly. This new pickup procedure will begin January 5, 2015 when we return to school.   Parents may pick up numbers in the office during regular school hours. 

The numbering system will work as follows:

  1. Parents planning to pick up children will be issued 6 laminated copies of a number.  We will have a corresponding number for each child you pick up.  Anyone picking up your child will need the number, or will have to park and come in to assure they are on your pickup list.  If for some reason you do not have your number, you will need to park and come in to get your child.  In this way we will be sure that only people YOU authorize will pick up your child.  Please do not give the numbers to people you do not have on your pick up lists.
  2. Numbers will need to be visible between the dash and window of your car on the passenger side.  Someone will radio in the numbers, and a person inside will line up the children to be escorted to the cars.  We will be able to quickly match your number to your children’s before putting them in the car.
  3. Due to safety concerns such as ambulance, fire, etc. we have been asked not to block the lanes in the front of our building.  For instance, in the event of a fire, students walk across the front parking lot to the grassy area, and it is NOT recommended that they have to walk through a line of waiting cars.  We begin releasing students at 2:40, and the First Responders recommend opening the front pickup line at 2:30.  I ask you most respectfully not to arrive prior to 2:30 since we simply do not have a place for you to wait in a car line without blocking traffic.  Children will be called and put in cars in the order of your arrival, and I promise you we will move it along as quickly as we possibly can.
  4. Included you will find a map showing changes to the parking lot necessary to accommodate the car line in the afternoon.  There is still parking in front of the building for parents who must pick up children prior to 2:30. 
  5. If for any reason you need a new number for your children, you may feel free to come in to the office any day and request one.  We will make any adjustments to ensure your child’s safety.

I’d like to take this opportunity to thank each of you for being so easygoing and cooperative during parent pickup this semester.  I realize I’ve asked you to go through numerous steps to pick up your children, and I know the process was slow.   It is my hope that this change will make JES safer and will prove more convenient for each of you.  We will stand in the weather and you will be able to enjoy the comfort and warmth of your cars.  Plus, when we get all of the kinks worked out I am certain it will be faster than our current procedure.  I’m excited about being able to do this for you, and wish to thank you in advance for your patience with us as we begin.  I have found JES parents to be wonderful to work with; supportive and patient and positive.  I truly appreciate each of you and am so glad for the opportunity to work with you and your children.
